Privacy policy

We understand the special importance of protecting your personal data, therefore, we collect and manage only those data that is necessary for our business. We process personal data in a legal, transparent and fair manner, for pre-defined purposes, and only to the extent necessary to achieve the purposes. When processing personal data, we strive to ensure their accuracy, safety, confidentially, proper storage and protection.

When processing your personal data, we comply with the General Data Protection Regulation (hereinafter referred to as the GDPR), the Law on Legal Protection of Personal Data of the Republic of Lithuania, as well as the requirements for the processing of personal data specified in other legal acts.            

  1. What is this document?

1.1. This privacy policy (hereinafter – the Privacy Policy) determines the conditions of privacy when you are using the website inmedica.lt (hereinafter – the Website).

1.2. Please read this Privacy Policy carefully in order to understand what practice we are applying to your personal data. After reading this document, you will learn how we handle your personal data, where we obtain it and what rights you have as a data subject.

1.3. If you use the Website, it means that you have read and agreed to this Privacy Policy and the purposes, methods as well as procedures for the processing of your personal data contained therein. If you do not agree with the Privacy Policy, you do not have the right to use the Website.

1.4. The term “personal data”, used in this Privacy Policy, means any information that allows determination of your identity, either directly or indirectly. Personal data include surname, first name, date of birth, mail or e-mail address, location data, and web identifier, features specific to you, etc.

1.5. In order for you to use our services to the fullest, you must be included into our clinic’s list of persons (patients). You can do this at any of our clinics. During registration into our clinic, you will be familiarized with the personal data processing rules of our clinic (hereinafter – the Rules), as well as your rights as a patient and personal data subject. In this case, you will be subject to the Rules and this Privacy Policy, which will prevail over the Rules.

1.6. Privacy Policy applies to all individuals who visit the Website, regardless of whether you are a patient at our clinic or of any actions you may perform on the Website, including a registration for an appointment with a health specialist at to our clinic.

  1. Who we are?

2.1. The Website is managed and administered by UAB InMedica, legal entity code 300011170, address Loretos Asanavičiūtės g. 20-201, Vilnius.

2.2. According to the provisions of legislation, we are the controller of your personal data.

  1. What principles do we follow?

3.1. When managing your personal data, we will:

  • comply with the requirements of valid and applicable legislation, including the GDPR;
  • manage your personal data in a legal, fair and transparent manner;
  • collect your personal data for specified, clearly defined and legitimate purposes and will not process it in a way incompatible with those purposes, except to the extent permitted by law;
  • take all reasonable measures to ensure that personal data, which are inaccurate or incomplete in relation to the purposes for which they are processed, are immediately corrected, supplemented, destroyed or their processing suspended;
  • keep them in a form that allows your identification for no longer than is necessary for the purposes for which the personal data are processed;
  • not disclose personal data to third parties, nor will we publish them, except cases indicated in the Privacy Policy or the Rules (if you are a patient of our clinic) or in the cases determined by law;
  • ensure that your personal data are processed in a manner which ensures adequate security of personal data by appropriate technical or organizational measures, including protection against unauthorized processing or illegal processing and from unintentional loss, destruction or damage.

 

  1. FOR WHAT PURPOSES we are managing your personal data?

4.1. We will manage your personal data for the following purposes:

  • in order to provide you with health services when you register on the Website for an appointment with a health specialist at our clinic;
  • in order to improve the Website and offer you better and customized services;
  • having received your consent – in order to provide you with suggestions and information about the goods and/or services of our associates and partners;
  • for other purposes, where we are obliged to process your personal data by law or a legitimate interest.

 

  1. How do we collect and manage your personal data?

5.1. We manage your personal data in the following ways:

  • when you submit them to us (e.g. when registering on the Website);
  • when you use the Website (e.g. type of the used browser, number of visits, viewed Website pages, time spent on the Website, etc.);
  • when we obtain personal data from other persons under the procedure established by law, this Privacy Policy or the Rules (if you are a patient of our clinic.

5.2. You provide us with your personal data and other information through the Website or by registering, writing to us, or communicating with our Customer Service Team, submitting complaints about the Website or our services. If you contact us in writing or e-mail, we will save the correspondence data.

5.3. The information you provide may include your or a person’s that your represent name, personal identification code, email address and telephone number, age, gender, password, message text (e.g. when registering for an appointment with a health specialist at our clinic) and other registration data.

5.4 When you use the Website, certain non-personal information (e.g. type of the used browser, number of visits, viewed Website pages, time spent on the Website, etc.) is automatically collected. This information is used to improve the content, functionality and attractiveness of the Website.

5.5. We may combine personal data that we have received from you with data we have collected from other public or accessible sources. For example, we may combine the personal data you provide with the data obtained through the use of the Website cookies, the data collected from you in the course of providing health services, or data legally received from third parties. By exercising your rights, you will always be able to request correction of incorrect personal data.

  1. Do we use your personal data for direct marketing?

6.1. Yes, we may use your personal data for direct marketing purposes in order to provide you with suggestions and information about the goods and/or services of our affiliates and partners that we believe may be of interest to you. However, we will use your personal data for this purpose only having received your consent.

6.2. For this purpose, we process the following personal data: name, surname, telephone number, email address, gender, age, information about your registration to our clinic.

6.3. You can choose whether you allow us to use your personal data for direct marketing purposes. You can do this by:

  • ticking or unticking the consent text “I agree to receive direct marketing offers” when registering on the Website;
  • by clicking on the link in our email concerning the use your data for direct marketing purposes.

6.4. By granting the right to process data for direct marketing, you also authorize us to contact you by means of communication (e.g. e-mail, telephone, short messages (SMS), Skype, Viber, etc).

6.5. We may combine available information about you with information of a third party in order to provide you with suggestions.

6.6 If you give a consent to use your personal data for direct marketing purposes, we may use your personal data to analyse and improve the effectiveness of your websites, advertising and market research, and for other marketing and sales purposes of the company. In this case, we will use your depersonalized data.

6.7. Even if you agreed with the processing of your personal data for direct marketing purposes, this consent can be revoked at any time in connection to all personal data processing actions. In this case, you can:

  • on the Website, in the column Patient domain-> My data, change your settings to indicate that you no longer want your personal data to be used for direct marketing purposes, or
  • inform about the refusal in away indicated in messages and/or offers received electronically (e.g. by selecting “unsubscribe” link in the newsletter, etc.), or
  • provide a relevant request personally at our clinic. Your name and surname must be clearly indicated in the request. If you wish to withdraw your consent in this way, we may ask you to provide documents confirming your identity;

6.8. If you withdraw your consent, we will endeavour to terminate the processing of your personal data for direct marketing as soon as possible.

6.9. Withdrawal of consent does not automatically oblige us to destroy your personal data or provide you with information about the personal data we process, so, if you wish we performed such actions, you must submit a separate request.

  1. How do we use cookies?

7.1. We collect information about you using cookies and similar technologies. Cookies are small files which are temporarily stored on the hard disk of your device and which allow your identification during other visits on the Website, save personal browsing history, options, customize content, speed up searches on the Website, create a comfortable and friendly Website environment, present  it as more effective and reliable. Cookies are a common practice in web browsing, which facilitates the use of a website.

7.2. With cookies we can collect the following information: IP address, browser type, demographic data, etc.

7.3. We use the information we receive with cookies for the following purposes:

  • to ensure the functionality of the Website (e.., for you to use the Website personalization);
  • so that we could improve and develop the Website to meet your needs even better;

  1. To whom we provide your personal data?

8.1. We guarantee that your personal data will not be sold, provided or otherwise transferred to third parties without a legitimate basis, also used for purposes other than those for which they were collected. We will not transfer your personal data in any way other than in accordance with this Privacy Policy, the Rules (if you are a patient of our clinic) and legislation. However, we reserve the right to provide you with information if we were required to do so by law or legal institutions or prosecuting authorities.

8.2. We can transfer your personal data to companies that help us carry out our business activities as well as direct marketing. We demand such partners to process your data only in accordance with the instructions we provide and the applicable data protection legislation.

8.3. We may disclose the data we collect about you to the following third parties:

  • third party service providers (e.g. providers of technical service when executing our contracts with these service providers, including the provision of services related to newsletters or performance of other marketing activities).
  • third party service providers whose services we typically use for data storage, telecommunications and website hosting purposes.

8.4. the possibility for aforementioned service providers to use your data is limited – they cannot use these data for purposes other than provision of services to us.

  1. For how long do we store your personal data?

9.1. We store data collected for the purpose specified in Clause 4.1. (a) of the Privacy Policy until you are registered at our clinic.

9.2. We store data collected for the purpose specified in Clause 4.1. (b) of the Privacy Policy for not longer than the period indicated in the cookie table in Clause 7.6. of the Privacy Policy.

9.3. We store data collected for the purpose specified in Clause 4.1. (c) of the Privacy Policy until you are registered at our clinic. If you are not registered at our clinic, but you have agreed to the processing of your personal data for the purposes of direct marketing in other ways indicated in this Privacy Policy, we will store your personal data for not longer than 3 years after your consent.

9.4. We store your personal data for not longer than it is necessary for data processing purposes or anticipated by legislation if a longer period for data storage is specified there.

9.5. We avoid storing outdated, irrelevant personal data, thus, (e.g. making clarifications on the account, changing information, etc.) only relevant information is stored after updating it. History is stored if it is required under the procedure established by legislation or for performing our activities.

  1. How do we store your personal data?

10.1. Data that we collect from you remain in the territory of EU, but they can be transferred and stored outside EU. They also can be managed by our or our providers’ employees who work outside EU. When transferring your data outside EU, we shall preform all necessary actions to ensure that your data are processed in a safe way and by complying with this Privacy Policy.

10.2. Unfortunately, the transfer of information online is not completely safe. Although we are making every effort to protect your personal data, we cannot ensure data safety when you transfer data into the Website – you assume the risk related to the transfer of data into the Website. After receiving your personal data, we will apply strict procedures and safety measures to protect your data from unauthorized access.

10.3. If unlikely circumstances occurred and we found out about a breach of your personal data, which could pose a threat to your rights and freedoms, we will inform you as soon as we learn about it and determine what information was accessed.

11.1. The Website can contain external links to other websites of our business partners or websites where our goods and/or services are advertised. When clicking such links into another website, please note that these websites and services provided through them have their individual privacy policies and we do not assume responsibility or obligations for these policies or personal data, for example contact or location data, collection in these websites or their services. Read these policies before providing your personal data in these websites or using any services.

  1. What rights do you have?

12.1. When processing personal data, we ensure your rights according to GDPR the Law on Legal Protection of Personal Data of the Republic of Lithuania. As a personal data subject, you have the following rights:

  • To know (to be informed) about the processing of your personal data;
  • To familiarize with your personal data that we process;
  • To request correction or supplementations, verification of incorrect, inaccurate, incomplete personal data;
  • To request destruction of personal data when they are no longer necessary for the purposes they were collected;
  • To request destruction of personal data if they are processed illegally or when you revoke your consent on personal data processing or you do not give such a consent when it is necessary;
  • To disagree with personal data processing or to revoke the previous consent;
  • To request suspension (except storage) of actions related to your personal data processing in event of a dispute or a need to check the legitimacy of data processing, data accuracy, also in cases when we no longer need your personal data, but you do not want us to destroy it;
  • To request provision of your personal data, collected on the basis of your consent or for the purposes of the contract, in an easy-to-read format, if it is technically possible, or their transfer to another data controller.

12.2. We shall make every effort to guarantee the execution of your, as a personal data subject, rights and to provide all the conditions for effective execution of these rights, however, we reserve the right not to fulfil your requirements when we have to ensure:

  • fulfilment of our legal obligations;
  • state security or defence;
  • public order, prevention, investigation, detection or prosecution of criminal offenses;
  • important economic or financial interests of the state;
  • prevention, investigation and detection of violations of service or professional ethics;
  • protection of your and other persons’ rights and freedoms.

12.3. You can provide us with the requirements related to the execution of your rights by mail, e-mail or other electronic means. Upon receipt of your request, we may ask you to provide documents confirming your identity, as well as any additional request-related information we need.

12.4. Upon receipt of your request, we will respond to you within 30 calendar days from the date of receipt of your request and the date of submission of all documents required for the response.

12.5. If we consider it necessary, we will suspend the processing of your data except storage until your request is resolved. Upon the lawful withdrawal of your consent, we will terminate the processing of your personal data immediately, but not later than within 30 calendar days, except in cases provided in Clause 12.2 of this Privacy Policy and legislation, i.e. when we are obliged to continue to process your data in accordance with applicable laws, legal obligations, court decisions or binding instructions given to us by the authorities.

12.6. In case we refuse to fulfil your request, we will clearly indicate the basis for such refusal.

12.7. If you disagree with our actions or the response to your request, you may appeal our actions and decisions to competent national authority.

  1. Who can you complain to?

13.1. If you would like to file a complaint about the processing of data performed by use, please provide it in writing with as much information as possible using the contact details provided at the end of this policy. We will cooperate with you and try to resolve any issues immediately.

13.2. If you believe that your rights have been violated under the GDPR, you may file a complaint to our supervisory authority, the State Data Protection Inspectorate, though, we will try to resolve any disputes with you at first.

  1. How this Privacy Policy will be changed?

14.1. All changes to our Privacy Policy will be posted on the Website. If necessary, we will inform you about them. New terms of Privacy Policy may also be posted on the Website and you may need to read and accept them to continue to use the Website site and/or our services.
